Setting up a new User

Create a new user account and learn which details you need to send the new user to get them up and running.

How does it Work?

Note - only users with admin rights are able to add new users to KOLOLA.

Before you begin, you will need to ake sure you have enough user licenses remaining to cover the new user. You can do this one of two ways:

  1. Click on the "Admin Tools" button and at the bottom of the "Users" tab is a graph depicting the number of user licenses you have remaining. If you have run out of licenses, the graph will be red.
  2. Sign in to KOLOLA Accounts for more detailed information about your remaining user licenses.

Create a New User

  1. Click on the "Admin Tools" button and navigate to the "Users" tab.
  2. Click the "Create User" button to begin adding a new user account. A series of input boxes will appear and you need to fill in the details as required:
    • Username - Assign the username which the user will use to log-in to their account.
    • Name - Input the users full name which will be displayed to other users.
    • CompetitionGroupID* - Assign a user ID for use with the optional KOLOLA competition feature (we suggest inputting the username to begin with).

      *Note - this field is optional and will only need to be completed if you plan to use the "Competition" feature.
    • IsAdmin** - Choose whether the user should have admin privileges.

      **Note - admin accounts have unrestricted access to modify/export/delete data stored within the underlying database so only assign to users where absolutely necessary.
    • Email - Input an e-mail address for the user (we recommend using their institutional e-mail).
    • Orcid - Input an Orcid for the user (you can leave this blank and let the user fill it in themselves later on if you prefer).
  3. Click 'Save' to apply your changes and create the new account.

Details to pass to the New User

You will need to manually contact the new user to send them their username and the e-mail address assigned to their account. They will then need to follow the instruction on our "Set up as a First Time User" support page.

How can I add more Licenses?

If you have run out of user licenses, the fastest way to purchase more is to sign in to KOLOLA Accounts where you can navigate to your institution and click on the "Purchase Additional Licenses" button.
