Our privacy policy will help you understand what information we collect at KOLOLA, why we do so, and what choices you have.

Whenever we refer to “KOLOLA”, “we”, “us” or “our” in this privacy policy, we are referring to KOLOLA Limited. When we talk about an “instance” or “portfolio” in this policy, we are referring to our online E-portfolio platform which is available for use via a web browser.

Data we collect about customers

At KOLOLA, we are transparent about what data we collect and why, only doing so for the purposes outlined below:

Account management and billing

When you become a customer, we will process your personal information to manage your account, process invoices and other similar reasons. We will use your email address, and other contact details, to inform you about important account information such as service changes, planned maintenance, and renewals.


When you submit your details to enquire about our products (for instance by requesting a quote, or signing up to be notified of a new product launch), we will ask for your consent to send you occasional marketing e-mails about our products. We will pass your details to a third-party email provider, MailChimp, for this purpose.

Support and training

We will send e-mails to customers about changes to the KOLOLA service, including newly released product features, changes to existing features and advice on using KOLOLA e-portfolios effectively. You cannot opt out of receiving these e-mails because we consider them a part of our delivered service.


We will retain a customer’s contact details for up to 12 months from the point that they generate a quote on our website. We use this to verify the customer’s identity so that we can honour our agreement to only charge them the amount that was quoted at the time of generation, even if our prices have increased in the meantime.

Web analytics

When you visit our website, we may record information about how you interacted with content on each page. We use this information to help us improve our website and to measure the success of our marketing campaigns.

We integrate analytics from Google, Microsoft, LinkedIn, Facebook and Twitter to help us track the effectiveness of our online marketing campaigns and to allow those companies to bill us correctly for their referrals. The data that these companies collect might be governed by other relationships that you have with those companies directly.

Webcasts and teleconferences

We will occasionally set up webcasts/teleconferences to demo our product to customers and to conduct market research. With your consent, we might record the session to help us to verify research notes, as well as to occasionally review transcripts for the purposes of quality control and service improvements.

Data stored on the KOLOLA platform

We act as a data processor for the data that is stored on the KOLOLA platform by our customers, which means that we may process the data stored within a portfolio on behalf of a customer, but we do not determine the manner or purposes for which that data is collected. This relationship is governed by the Terms of Service that all of our customers have agreed to.

Concerns about data stored within a portfolio

If you have any concerns about data stored within a KOLOLA portfolio, then you should contact the owner of that portfolio in the first instance. We will assist with content takedown or other access where we are required to do so by law.

Changes to the privacy policy

We may change this privacy policy from time to time, and if we do post any changes then they will be reflected on this page. We will contact customers by e-mail to make them aware of any significant changes to our privacy policy.

Requesting access to your data

In compliance with data protection law, you have a right to access, modify and remove any of the information or data we hold about you which is inaccurate, incomplete or out of date. You can exercise this right at any time by contacting our Data Protection Officer, either by writing to our address below, or e-mailing and marking it for their attention. KOLOLA reserves the right to charge a reasonable fee to cover the costs of administering requests for data held by us, where this is allowed by law.
